Importing subscribers to a mailing list

This article walks you through how to add single subscribers and how to import multiple subscribers. It also describes how to follow up on your import once it is completed, by viewing the import summary.

To add a new subscriber to a mailing list, choose the mailing list you want to add the subscriber to, and then go to the 'Add' tab. Here, you can choose to import a file or add a single subscriber manually.

To add a single subscriber, choose 'Add a single subscriber' and type in their email address and fill out the demographic data fields. If desired, you can also add the subscriber to additional mailing lists. The list you're currently working on will be pre-selected.

Remember to click 'Save' to confirm your changes.

Importing Subscriber Data

To add subscribers by importing a file, perform a regular file import to the list.

  1. Select Your File
    Begin by choosing the appropriate file from your local computer. We support both CSV and Excel (.xlsx) formats. Ensure your file is properly formatted, with column headers clearly indicating the type of data (e.g., email, first name, company, etc.).

  2. Map Your Data Fields
    Once the file is uploaded, you will be prompted to map each column in your file to the corresponding demographic fields in the system. For example, if your first column contains email addresses, you need to map it to the “Email” field.


    If you are importing from an Excel file and your file consists of multiple sheets, select the sheet you want to connect to the import.

    1. Automatic Field Matching
      If the column headers in your file match the names of existing demographic fields, the system will automatically detect and map them. This saves time and reduces the risk of errors. You can still manually adjust the mapping if needed.

    2. Empty Columns
      If a column in your file is left empty for a particular subscriber, the corresponding demographic data field for that subscriber will be cleared. This allows you to remove outdated or incorrect information directly through the import process.

    3. Creating New Demographic Fields
      If your file contains columns that do not match any existing demographic fields, you can create new demographic fields during the mapping process. Simply select "Add new DD field" and specify the field name and click 'Save'.

  3. Subscription format
    Choose whether the subscribers by default should receive HTML based (i.e. with images and formatting) or text based emails.

  4. Pre-Import Options: Managing Existing Subscriber Data
    Before confirming the import, you will be prompted to choose how the system should handle existing subscribers in the list:

    Update Existing Subscriber Data
    Select this option to refresh or enrich the data of subscribers who are already present in your Apsis Pro account. The system will match subscribers based on the subscriber email address, and updates existing subscriber data based on the file. New subscribers are added to the list and Apsis Pro account as usual.
    Note: If a mapped column is empty for a subscriber, the corresponding demographic field will be cleared for that subscriber.


    Clear List Before Import
    Choose this option if you want to replace the entire list with the contents of your new file. All existing subscribers in the list will be cleared from the list before import, and only the subscribers from the newly imported file will remain in the list.
    Warning: This action is irreversible and should be used with caution, especially if the list is actively used in campaigns or automations.

    Disable duplicate check (Not a default option)
    Check this option to import subscribers as new unique subscribers, even though they share the same email address as an existing subscribers on the account. In order for this type of import to work, you need to set a unique password for each subscriber included in the import file, such as a CRM Id. The password of each subscriber will be the unique identifier separating the subscribers from each other.

    NOTE! This option should be used with caution!

  5. When you have chosen your update option, proceed with clicking 'Next'.

Note! If you attempt to add subscribers whose email addresses are already on the “opt-out all” list, the system will automatically block these addresses from being added to your list again. This ensures compliance with consent and privacy regulations, and helps you avoid sending communications to users who have previously unsubscribed from all mailings.

The import of subscribers will now be placed in a queue and started shortly.
An icon next to the mailing list will indicate that the import is queued. Update your web browser (Hit F5 on PC, or Command + R on Mac) to see the current status of the import.

Once the import is complete, you can view the import summary by clicking the icon next to the mailing list.


Import report and summary

Below is an example of what you will find in your import summary.

Total number of addresses
Every line in the import file that has been imported containing characters.

Ignored duplicates
Number of duplicate addresses existing in the import file and that have not been added the mailing list

Invalid addresses
Number of email addresses with the wrong format. Meaning that the address does not follow the standard structure required for valid email syntax.

Common examples of wrong formats:

  1. Missing “@” symbol
    john.doeexample.com

  2. Missing domain
    john.doe@

  3. Spaces in the address
    john doe@example.com

Updated subscribers
Subscribers which have been updated with the data in the Excel file.

New addresses
Total number of new addresses added to the list.

Unsubscribed addresses (Opt-out list)
Addresses on the list-specific Opt-out list

Unsubscribed addresses (Opt-out all)
Addresses on the account's Opt out list

Import queued
Time the Excel import file was submitted to APSIS Pro for import

Import started
Time APSIS Pro began processing the import file.
