Sending Emails with Attachments

Updated this week

Best Practice

If you need to share files via email, the recommended approach is to upload the files to a web location (e.g., an FTP server or cloud storage) and include the URL link in your email rather than attaching the files directly.

This method ensures faster delivery, better deliverability, and improved user experience.

APSIS Pro does offer an add-on feature for attaching files to newsletters, but attachments should be used with caution.

Important Note!

Attachments in emails come with several disadvantages. We recommend using them only for small internal send-outs with small files.

Advantages of Attachments

  • Ability to include files such as PDFs, documents, or image files directly in your email.

Disadvantages of Attachments

  • Email size limits: Many organizations block large emails, causing delivery issues.

  • Spam filters: Emails with attachments are more likely to be flagged as spam.

  • Performance impact: Large attachments slow down sending and increase data load.

  • Mobile experience: Recipients opening emails on mobile may struggle with large files.

  • Limited tracking: You cannot track if recipients open attached files.
(If you link files instead, you can track clicks and engagement.)

Recommended file size: Max 1 MB

Why Linking Files Is Better

  • Faster sending and reduced data load.

  • Improved deliverability and lower spam risk.

  • Ability to track clicks and engagement in reports.

How to Attach Files in APSIS Pro (If Feature Is Enabled)

  1. Open your newsletter in the Newsletter Editor.

  2. Click the Settings tab.

  3. Scroll to the Attachment section and click Choose file to browse and select your file.

  4. Click Upload to attach the file.

    • The file will appear in a list under the Attachment section.

    • To remove a file, click the Remove icon next to it.

When the newsletter is sent, the file(s) will be attached to the email in recipients’ inboxes.

Accepted File Formats

  • PDF

  • GIF

  • JPG / JPEG

  • PNG

  • XLS / XLSX

Recommended file size: Max 1 MB

Summary

  • Best practice: Use links instead of attachments for better deliverability and tracking.

  • Attachments: Use only for small internal send-outs with small files.

  • File size limit: 1 MB maximum.
