APSIS Pro Trigger

The APSIS Pro Trigger feature automates communications and subscriber actions based on specific events. Use triggers to send emails and SMS or update subscriber lists, providing targeted and timely messages without manual effort.

Creating a New Trigger

Find Triggers under the Project section in the APSIS Pro Home environment.

Begin by clicking New, then select the Trigger feature.

Configuring Trigger Settings

Start by naming your Trigger to keep your projects organised. For example, “Welcome Flow” or “Birthday Trigger.” Add sender details, including Sender name and Sender email. These details are used in all emails sent through the Trigger.

Note! At the top of the settings there is a Start button for the Trigger. The Trigger will remain inactive until you activate the project. An inactive Trigger project is highlighted in red (Trigger not started/Disabled), whereas an active Trigger will turn the button colour green (Enabled).

Next, select the Mailing list that will serve as the source for the trigger. All triggers act on a specific mailing lists. For example, choose a list like "Newsletter Subscribers"

Optionally, add a filter so only contacts matching certain criteria in the list will enter the trigger workflow.

Next, choose what will initiate the trigger:

  • Joining the mailing list: The Trigger is activated when someone is added to your mailing list.

  • Matching a date: The Trigger is activated based on a date field in the subscriber’s demographic data, such as a birthday date. Select the date field and choose if the trigger should be activated exactly on the date, or x amount of days or weeks before/after.

    The format of the date should be YYYY-MM-DD.

For annual events, select Annual activity to trigger based on month and day—ignoring the year—so messages repeat yearly.

Click Save to store your settings.

Note: The Trigger remains inactive until you press the Start button.

If you want to follow the number of times that the trigger has been activated, the left side of the Settings tab displays this information together with the project status.

Defining Trigger Steps

Navigate to the Overview tab. Here, build your trigger flow by dragging trigger modules onto the timeline: Email, SMS, or Edit subscriptions.

Adding And Configuring An Email Step

Drag the Email module into your timeline.

Click the email icon to open the settings for your trigger module.

Choose an email that has already been created or click the pen icon to create a new email. If you use an existing email, make sure that the email has not been sent previously. If unsure, copy the email you want to use and choose the copied email in the dropdown.

Select your template and click Create new. Build your message in the email editor by adding a subject, content blocks (such as images, text, footer), and additional customisation.

Once the email is ready you can return to your trigger workflow with the Back to Trigger button.

Back in the overview, use the dropdown to select your email, set when it should send (immediately when a subscriber is triggered in the project or after a specified delay), the sending time (such as 8:00 AM), and filter as needed.

Save your step. The timeline updates to show the step, timing, and filter status.

You can edit or delete steps at any time using the icons beside each module.


Adding Additional Messages Or Delays

Add other steps, such as additional emails or SMS, by dragging more modules into the timeline. Set different delays—such as sending a reminder one day after the initial email.

Important: The timing of each step is always based on when the trigger is activated. This means that when scheduling the second module, you should reference the moment the entire trigger project is initiated—not the activation time of the first module.

Configuring the SMS trigger modul

Drag the SMS module to the timeline.

Configure the sender, message, activation timing, and filter.

Editing Subscriptions

Drag Edit subscriptions into the timeline.

Choose to add the subscriber to another list, remove from the current list, or permanently delete the subscriber from your account.

Select when to trigger these changes and set filters if required.

Note! Trigger steps can be edited when needed. However, removing a trigger step deletes all related report data.


Activating The Trigger

Once your workflow is complete, return to Settings and select the Start button to activate.


Monitoring And Reporting

The Report tab shows performance metrics for your trigger project. View statistics for sent, opened, clicked, and bounced messages per step. Set date ranges for your reports to analyse specific periods.

Sharing the results of the Trigger project

Export the report in PDF, CSV, or Excel. Email results to others by entering addresses, separated by commas, before exporting.

Enable a public report link for easy sharing.
