Understanding Bulk Updates for Subscribers

Bulk updating is a powerful tool in Apsis Pro that allows you to modify demographic or contact information for a group of subscribers all at once. This is especially useful when many contacts share the same incorrect data or when details like city, country, or email domain need to be corrected following a mistake or structural change.

You may want to use bulk updates if, for example, you realise that all subscribers from Malmö should have their country set to Sweden or if you need to update an email domain for multiple contacts.

Accessing the Process Subscribers tab

  1. Navigate to Recipient settings in Apsis Pro.

  2. Select the Process subscribers tab to open the bulk update options.

Filtering the subscribers you wish to update

Use the filter feature to narrow down which subscribers you want to update. You can filter by demographics, such as city or organisation name , to find specific groups.

For example, to find everyone in Malmö, apply a city filter that is set to find all subscribers with Malmö as the value for city.

Optionally, add a date filter.

You can filter by the date the subscriber was created or last updated. Adjust the time frame to specify your range (e.g., created from the 1st of January until today).

Selecting and updating demographic data

  1. In the demographic editor, choose which field you want to update (such as country or city).

  2. Enter the new value (e.g., set the country to Sweden or the city to Stockholm).

  3. Click Apply to confirm the changes. All subscribers matching your filter will have the selected demographic data updated accordingly.

Note! If no filter is used, all subscribers in your database will be updated with the new value.

Updating part of subscribers email addresses

  • In this section, you update the domain after the '@' sign.

  • For instance, if email addresses have changed from ‘apsis.com’ to ‘apsis.se’, specify the domain part to replace.

  • Use a filter, such as by city or another demographic, to specify which subscribers should be affected.

  • Enter the new email domain and click Apply to carry out the change for all filtered subscribers.

To revert changes or update to a different domain, simply repeat the process with the new or previous domain as required.

Tips and best practices

  • Always double-check your filters before applying changes to make sure you only update the intended subscribers.

  • Use bulk updates for fields and situations where many subscribers require the same information. For unique changes, consider updating individual records instead.

  • After applying changes, consider running a report or reviewing the updated records to ensure accuracy.
