Introduction to Filters for Email Segmentation
Apsis Pro filters help you target specific groups of subscribers based on their demographic data (like location) or their email engagement (such as activity or inactivity). This guide explains how to create a filter and use it in newsletters, send-outs, and reports.
How to create a filter
Start by creating a filter. Navigate to the Recipient section and click on Recipient settings and select the Filters tab.
To illustrate, let us create a filter for subscribers living in Stockholm.
Create a New Filter
Click Create New Filter.
Enter a name for your filter (e.g., “Stockholm”).
Click Save.
On the right side, options to create statements for the filter will appear.
Add Filter Criteria
On the right-hand side, choose the following:
Category: Demographic Data
Field: City
Condition: Equals to
Value: Stockholm
After setting the conditions, click Add.
💡 Tip: To include multiple cities, separate them with a double comma (e.g., Stockholm,,Gothenburg). Filters are not case-sensitive.
The statement will appear on the left and the filter will be created.
Show matches
To verify which subscribers match this filter, click the Show Matches button. This list will display the matching subscribers. You can search and export this list if needed.
The newly created filter will appear in the drop-down menu. You have the option to add multiple statements to a filter. The last option determines the relationship between the statements.

Filters can be used in three main areas:
In newsletters to hide or display certain modules.

To apply a filter to a newsletter, click on the module you wish to filter. In the left column, select Edit and then select Filter in the dropdown.
Choose a filter from the drop-down menu, we will use the Stockholm filter from before. This module will now only be displayed to subscribers living in Stockholm.
Preview a Newsletter with a Filter
To preview how the newsletter appears to an individual subscriber or a segment matching a filter, go to Preview. Click “use filter” and check the filter you want to see in the preview.

Another way to segment using a filter is during the scheduling of a sending. Select the newsletter and one or more recipient lists. This email list contains 282 recipients. You can select a filter from the drop-down menu below to segment the list. Notice how the number of unique recipients decreases from 282 to 43 when the filter is applied. Continue as usual to complete the scheduling. This ensures your message reaches only the relevant subscribers.
